To ensure the program computes correctly, it's important that the employee information is accurate in their profile.
In this manual, we will explain the different parts of the employee profile and their functions:
Personal Information
In this tab, you should enter the basic information of the employee such as social security number, first name, and last name, which are required fields to create the profile.
- Is Driver - Check this box only if the employee is a driver and needs to fill out the driver's form. Employees marked as drivers will not have disability calculated.
- Date of Birth - Determines if the employee is exempt due to age. If left blank, the program assumes the employee is older than 26 years.
- Date of Employment - Required only for Christmas bonus reporting purposes. This determines the Labor Reform Law that applies to the employee.
- CESS Code - Applies only to the retirement form. Only employees with this code assigned in their profile will be considered when transferring to form CFSE 693.
- Group Code - Optional checkbox, useful if the client wishes to classify employees by codes.
- Address - Although not required to create the client's profile, it's recommended to fill this out without special characters like #, - as it will be required when submitting W2 forms.
Payroll Information
In this tab, you should select whether the employee is salaried or hourly.
- If the employee is hourly, you need to enter the rate and press Save.
Form 499-R4
To calculate the tax contribution accurately, you must assign a fixed withholding amount or percentage.
Once you determine the percentage or amount, press Save at the bottom of the screen.
Payroll Group
In this section, you can classify the employee into a previously created payroll group or create a new group.
Payroll History
In this tab, you can view the employee's payroll history, generate reports, and export the history to Excel.
