General Errors with the SSA File
This article describes the most common errors when generating and filing the SSA file, along with the recommended steps to correct them properly.
❌ Address Error
This error occurs when the address contains invalid characters or when required information is missing from one of the address lines.
Typical error message:
✅ How to fix it
- Go to Annual → W2PR → Download SSA File.
In the Sender Information section, verify that:
- The Address Line 1 and Address Line 2 are completed.
- No special characters are used (/, #, %, &, quotation marks, etc.).
- Only letters, numbers, and spaces are used.
- Save the changes.
- Download the SSA text file again.
- File the corrected file.
💡 Tip: If the address is short, you may split it between Address Line 1 and Address Line 2 to meet the required format.
❌ Employer Type Error
This error occurs when the selected employer type does not match the format required for the SSA file.
✅ How to fix it
- Go to Annual → W2PR → Download SSA File.
- In the Filing Information section, locate the Employer Type field.
Select the following option:
Regular (all others)
- Save the changes.
- Download the SSA text file again.
- File the corrected file.

- Always review the information before downloading the SSA file.
- If you make any changes, you must download the file again; previously downloaded files are not automatically updated.
